Smartoo Agents Overview
Smartoo AI Agents are intelligent digital assistants built directly into your workspace. Serving as the brain behind your apps, these agents handle repetitive tasks, execute complex workflows, and utilize artificial intelligence to make decisions or generate content without requiring manual human intervention.
Whether you need to route a customer request, extract data from a document, or send a daily status report, AI Agents ensure your operations keep moving forward automatically.
Two ways to build your agents
You don't need to be a developer to create a powerful AI agent. Smartoo offers two distinct ways to build agentic workflows:
- Generate with AI (Smartoo Assistant): Simply describe what you want the agent to do in plain English. For example, "Create an agent that runs every Monday, finds all overdue tasks, and sends a summary email to the manager." The Smartoo Assistant will instantly build the workflow for you.
- Create via the drag & drop visual builder: For complete control, you can use the DIY visual drag-and-drop builder. This canvas allows you to manually connect triggers, logic, and actions to craft custom, highly specific workflows step-by-step.
How the visual builder works (Nodes)
If you choose to use the drag-and-drop builder, you will construct your agent by connecting "nodes." Each node performs one specific job. When chained together, they form an automated process.
The Smartoo node library includes:
- Triggers: The event that wakes the agent up.
- Logic: Rules, conditions (if/then), variables, and delays.
- Data actions: Commands to create, read, update, or delete records in your database.
- Conversational steps: Actions to send messages, wait for human input, or perform a human handoff.
- AI & Knowledge: Tasks where the agent uses AI to generate text, analyze sentiment, or query your connected knowledge base.
- Integrations: HTTP requests to connect with external tools and software.
Triggers: How an agent know when to execute actions
An agent sits idle until a specific event tells it to start working. You can trigger an agent via:
- Conversational triggers: The workflow starts based on a chat interaction or message.
- Form submissions: The workflow runs the moment a user submits a specific form.
- Schedules: The agent runs on a recurring timer (e.g., every day at 9:00 AM or on the first of the month).
- Webhooks: The agent activates when Smartoo receives a signal from an external piece of software.
Examples of agentic workflows
AI Agents can handle far more than basic "if this, then that" automation. Here are some real-world examples of what they can do:
- Automated customer support:
Trigger: A new message is received.
Agent Action: The AI reads the message, classifies its urgency, checks your knowledge base for an answer, and either replies to the customer automatically or routes complex issues to the correct human staff member. - Smart document processing:
Trigger: A user uploads a contract or invoice via a form.
Agent Action: The AI extracts key details (like amount, vendor name, or due date), creates a new record in your database, and sends an approval request to the finance team. - Daily operations summaries:
Trigger: A schedule runs at 5:00 PM every Friday.
Agent Action: The agent scans the database for all tasks marked "Done" that week, uses AI to write a friendly, concise summary report, and emails it to the project stakeholders. - Lead qualification:
Trigger: A new lead is added to the database.
Agent Action: The agent enriches the lead data, scores them based on your custom criteria, and assigns high-scoring leads to the sales team while sending an automated welcome email.
The power of human-in-the-loop
One of the strongest features of Smartoo AI Agents is that they do not have to be entirely autonomous. You can design workflows with "human-in-the-loop" checkpoints.
For instance, an agent can draft an email response to a client but pause the workflow to wait for a manager's approval before actually sending it. This allows you to leverage the speed of AI while maintaining strict quality control over important decisions.
When to use an AI agent vs. a basic workflow
While traditional workflows are great for moving data from point A to point B, you should use an AI Agent when a process requires understanding. If a task involves reading free-form text, making a judgment call (like determining if customer feedback is positive or negative), or generating a unique response, an AI Agent is the right tool for the job.
Summary
Smartoo AI Agents transform your apps from simple databases into active, intelligent team members. By combining basic automation rules with advanced AI capabilities, you can build systems that not only organize your work but actually help you do it. Whether you ask the Smartoo Assistant to build one for you or map it out yourself in the visual builder, agents are the key to scaling your business operations effortlessly.
